Japan Luggage Forwarding or Shinkansen Baggage Seats: Which Should You Choose?

The right answer can change during one Japan holiday. You might carry your bag to the first hotel, forward it past a short intermediate stop, then keep it with you for the final journey to the airport. Decide by the journey and the time you can spend without the suitcase, rather than choosing one method for the entire trip.

For travellers moving between Tokyo, Kyoto and Osaka, this guide explains how to compare courier delivery with the relevant Shinkansen baggage reservation. It also covers the final airport handover, where delivery cutoffs deserve particular attention.

Measure the suitcase before choosing the train seat

Use the packed bag's external dimensions, including protruding parts, and add its length, width and height. Check its weight too. An airline's acceptance of the bag does not establish compliance with the train or courier's rules.

JR Central's luggage guidance says that luggage exceeding 160 cm and up to 250 cm in total dimensions requires an oversized-baggage-space seat reservation on the relevant Tokaido, Sanyo and Kyushu Shinkansen services. Baggage exceeding 250 cm cannot be brought aboard under that guidance. The special reservation does not add to the price of the corresponding reserved seat.

A 75 × 50 × 30 cm suitcase totals 155 cm; an 80 × 55 × 35 cm suitcase totals 170 cm. Those are illustrative measurements. Measure your actual bag, especially if it expands after shopping.

The oversized-baggage reservation is one rule among several. Check the operator's complete baggage limits, including weight and permitted items. Do not apply this specific Shinkansen reservation system to every train in Japan without checking the relevant railway.

A normal-size bag can still be difficult to carry

Being under the special-reservation threshold does not tell you whether the journey will be comfortable. Think about the route between your hotel room and the train, not only the space once you are seated.

How many bags can each traveller safely manage? Can you lift and control the suitcase where required? Will you have a pushchair, shopping bags or equipment as well? How many transfers are involved, and does the intended station route suit your mobility needs?

A large but compliant suitcase may be manageable on one direct rail journey and frustrating on a day involving several trains and a long walk. Conversely, a traveller staying near the departure and arrival stations may find carrying a modest bag simpler than arranging delivery.

Choose the practical minimum. If your biggest problem is a few hours between hotel checkout and train departure, ask about suitable storage. If the difficulty is a long series of transfers, forwarding may remove more friction.

Reserve the right baggage arrangement with the train

If your bag falls within the oversized category, select the appropriate seat arrangement when reserving the train. Do not assume any seat in the final row automatically grants the baggage space you need. Check the booking's actual label and confirmation.

JR Central's current luggage page distinguishes reserved oversized spaces from deck storage that is being offered without reservation on a trial basis. The availability of deck storage does not remove the oversized-space reservation requirement for bags over 160 cm.

If the appropriate seats are unavailable on your preferred train, compare another departure, a different approved transport arrangement, or forwarding. Keep your group seating needs in the same search. Securing an ordinary seat for one traveller does not solve an oversized-bag requirement for the whole party.

Recheck the baggage rule when changing a train reservation. A new departure or seat selection should preserve the arrangement you need. Save the final confirmation where it is easy to retrieve at the station.

Forwarding works only when the arrival date works

A courier journey needs a confirmed sending point, destination, delivery date and recipient. “Japan has luggage delivery” is not enough information to decide that a suitcase can reach your next hotel in time.

Yamato's airport-to-hotel service information distinguishes same-day and standard delivery according to destination and drop-off timing. Same-day service is therefore a specific option to verify, not a countrywide promise. Its stated delivery estimates also vary by region.

Ask for the expected delivery date for your exact route before handing over the bag. Include the real drop-off time, not the flight's scheduled landing time: you need to disembark, complete arrival formalities, collect the suitcase and reach the counter first.

Then consider what happens if the suitcase arrives later than expected. Your small bag should contain enough for the time apart and a sensible contingency. Keep passports, essential medicines, valuables and anything required for the next flight with you. Check the courier's prohibited and restricted items separately.

Ask the receiving hotel before sending

Confirm that the destination will accept luggage, the earliest arrival date it permits and how it matches bags to guests. A staffed hotel and an apartment with self check-in can have very different receiving arrangements.

Use the property's correct name and address, the guest name on the reservation, arrival date and booking reference where requested. If one person books the hotel and another sends the suitcase, tell the hotel which reservation the delivery belongs to. Ask whether delivery must be prepaid and what to do if the booking changes.

Keep a photo or copy of the waybill and tracking details. Count the pieces at handover and again at receipt. If the suitcase contains an item you must have at the next destination, reconsider sending it separately in the first place.

Do not send to a property merely because it appears near your planned route. Its willingness and ability to receive the bag must be established. If it cannot, ask the courier about an authorised alternative pickup arrangement and verify the opening hours.

The most useful forwarding pattern is often skipping a short stop

Imagine a trip with several nights in Tokyo, a one-night intermediate stay and several nights in Kyoto. Forwarding the main suitcase directly to Kyoto can let you make the middle stop with a smaller bag, provided the courier timing and Kyoto hotel's receiving policy work.

This can be more useful than forwarding separately to every hotel. A suitcase chasing a series of one-night stays leaves little margin for delivery and creates repeated handovers. You also spend more time arranging shipments and checking that each property can receive them.

Pack the small bag around the actual gap: clothes, toiletries, essential chargers and any equipment for the intermediate activity. Leave enough space to carry it comfortably while keeping your hands free for tickets and station navigation.

Use forwarding selectively. If a one-night stop requires the contents of your large suitcase, or if the next property cannot receive it before arrival, carrying the bag may be the simpler option.

Use storage when the bag does not need to change cities

Storage solves a different problem from delivery. You leave the bag in one place and return for it, which can work well between hotel checkout and an evening train.

Compare location, opening hours, bag-size acceptance, retrieval rules and the detour required to return. A cheap storage point on the wrong side of the city can cost more in time and transport than a convenient one. If you have a fixed departure, allow a margin for collecting the suitcase and reaching the platform or terminal.

Do not assume walk-up availability for an unusually large bag or a busy location. Establish an alternative before building a sightseeing day around it. If using a staffed service, save its exact location and collection instructions, not just the neighbourhood name.

Avoid collecting the bag at the last possible minute. Storage makes the day lighter, but the collection point becomes a commitment that must fit the onward journey.

Plan airport delivery earlier than hotel delivery

The last shipment of the trip deserves its own calendar entry. Delivering to an airport for collection before a flight can have earlier cutoffs than a hotel-to-hotel shipment.

Yamato's Airport TA-Q-BIN guidance requires dispatch by two days before departure, or three days in some areas, subject to the sending counter's deadline. Check the exact route and service with the provider. Do not assume a suitcase handed over at hotel checkout on departure morning can reach the airport in time.

Confirm the airport, terminal, collection counter, operating hours and flight date. An airport code is a useful cross-check: Tokyo's Haneda and Narita are different destinations. Build pickup time into your airport-arrival plan before baggage drop closes.

Also check the courier's size limit. Yamato's published Airport TA-Q-BIN size table extends to 200 cm and 30 kg. A suitcase fitting a train's dimensional allowance may still be unsuitable for that courier service. Have an alternative if the carrier cannot accept it.

If you will need the suitcase until the night before a morning flight, taking it yourself may be the better choice. Convenience at the station is not worth a bag arriving after you have departed.

Compare the complete cost of each method

For carrying, include the actual train ticket, any additional local transport you choose because of the bag, and storage if needed. Do not add an invented oversized-seat surcharge where the operator says the appropriate reservation costs the same as the equivalent reserved seat.

For forwarding, include the delivery quote for every piece, any airport charge, getting to the sending point and the smaller bag you will carry. If the plan only works by taking a taxi to a distant depot, count that as well.

Then ask what the money buys. Forwarding may remove difficult transfers, free your hands or let you enjoy a stop without finding storage. Carrying gives immediate access and avoids a separate delivery dependency. Storage may be the cheapest way to solve a short gap in one city.

You do not need a permanent preference. Choose the method with the clearest handover and least strain for each part of the trip.

Is airport luggage delivery suitable for my final morning?
